1. Which data and why?
We process contact, address, booking, payment, vehicle, motorcycle and driver data to handle requests, perform agreements, verify safety, deal with fraud and damage and comply with legal obligations. The legal bases are performance of the agreement, legal obligations, legitimate interests and, where required, consent.
2. Driving licence photos
We register all drivers in advance. Uploading the front and back beforehand is optional; MotoTrail can also make redacted copies on collection and securely add them to the rental file. Only registered and checked drivers may tow the trailer. Redact the Dutch citizen service number, QR code and unnecessary numbers; the name, photo, validity and licence category must remain legible. Files are stored securely outside the public website and are only accessible to authorised administrators.
2a. Unavailable rental periods
When all trailers are occupied or provisionally booked for a valid selected period, we record the period, number of motorcycles, total motorcycle weight and time to assess unmet demand and required capacity. The same essential browser session and period are counted no more than once. We do not store a name, email address or readable IP address for this purpose.
3. Retention periods
- Driving licence files: automatically deleted once the trailer has been correctly returned.
- In the event of damage, loss, fraud or another incident: only for as long as necessary, with a recorded reason and review at least every 30 days.
- Financial records: seven years where required by tax law.
- Contact messages: generally no more than one year after handling.
- Booking and damage files: no longer than required for the agreement, claims and legal obligations.
- Security logs: generally no more than 90 days, and longer only in the event of an incident.
4. Sharing and service providers
We do not sell personal data. Data is only shared where necessary, for example with hosting and email providers, payment or insurance parties, professional advisers or competent authorities. We make appropriate privacy and security arrangements with processors.
5. Security
We work in accordance with current GDPR and information-security guidance for 2026, using access restrictions, strong administrator accounts, encrypted connections, private file storage, logging, backups, updates, data minimisation and controlled deletion. Technical management and information security are supported by A.Decompress ICT. This does not mean that A.Decompress uses data for its own purposes.
6. Data breaches
A potential security incident is recorded, investigated and contained. Where legally required, we report it to the Dutch Data Protection Authority within the applicable period and inform those affected.
7. Your rights
